Constitution

 

  • The name of the Club shall be The J Team Club, hereinafter referred to as “ the club ”.
  • The aims and objectives of the club are,
    • to provide a club for children to meet, make friends and have fun in a safe, friendly environment. We will run two session per week on a fortnightly cycle, each lasting two hours. One session will be predominantly arts and crafts, we will have a make table were the children have the fun and satisfaction of completing a task and ending up with a finished item they can take home. We will also have games, reading and pretend play. The session will finish with a snack of toast and milk. The other session will be based around a Disco, with lots of games revolving around it, with plenty of movement and activity.
    • to encourage family life, whatever make up a family is, we will run events to allow parents to socialise with their children. There will be at least 6 family events each year, this will include a summer outing to the seaside and winter pantomime trip.
  • Membership shall be open to children and their families in the Barlanark and surrounding area regardless of race, religion and gender. The age range will be for children in primary one to five, and children in the last six months of their pre school year.
  • The affairs of the club shall be under the control of a committee for the day to day running of its business. The committee shall be elected from volunteer club leaders and members parents/guardians.  The committee shall consist of chairperson, vice chairperson, secretary and treasurer as office bearers.
  • The club shall hold in January of each year an annual general meeting at which volunteer leaders and members parents/guardians shall receive the annual report and accounts for the preceding year from the committee and elect members of the Committee including the chairperson, vice chairperson, secretary and treasurer.
  • The quorum for meetings of the club shall be three of the membership. Each member of the club shall have one vote. The chairperson shall in addition, have a casting vote.
  • The chairperson shall at their discretion call a special general meeting of the volunteer club leaders or members parent/guardians. In addition, the secretary may call a special general meeting of volunteer club leaders or members parent/guardians within twenty one days of receiving a written request to do, signed by not less than one third of the volunteer club leader or members parent/guardians, giving reasons for the request.
  • The notice and agenda for the annual general meeting (and for any special meeting) shall be sent to all committee members in writing at least fourteen days before the meeting.
  • The management and control of the club shall be carried out by the committee who shall report at each annual general meeting and :-
    • Appoint an auditor who is not a member of the group.
    • Receive money and make payments on behalf of the club.
    • Do all things as will properly attain the objects stated in clause 2, for example hire premises as may be needed, arrange for child protection vetting for all volunteers etc.
  • The committee shall consist of :-
    • 9 members, drawn from the volunteer club leaders and members parents/guardians, including the chairperson, vice chairperson, secretary and treasurer.
    • Additional members co-opted by the committee but not exceeding two at any time.
  • In the event of the death or resignation or expulsion of an elected member the vacancy shall be filled by a volunteer club leader or members parents/guardian, co –opted by the committee. The committee including co-opted members shall retire each year at the Annual general meeting but shall be eligible for re election. No person shall be entitled to serve for more than five years. For these purposes a year shall be the period elapsing between successive annual general meetings.
  • A committee member shall be deemed to be expelled or to have resigned in the following circumstances.
      • By tendering their resignation in writing to the secretary at any time.
      • If in the course of their term of office they loose qualification as committee member.
      • If they are absent from three consecutive committee meetings and fail to give a satisfactory explanation to the committee on request.
  • The committee shall meet as often as necessary and not less than 4 times a year
  • Not less than one third of the committee, including two office bearers, shall comprise a quorum.
  • The treasurer shall keep account of all income and expenditure and shall prepare accounts which shall be submitted for audit to a competent person and a report theron obtained. The Club shall open and maintain and lodge all monies in a bank account in the name of the Club. The monies shall only be drawn on the signatures of two from three signatories from vice chairperson, secretary and treasurer. The funds of the group shall be applied solely for the promotion and furtherance of its aims and objects, and no payment whatsoever shall be made directly or indirectly to office bearers or member of the club or committee or other persons associated with the running of the club with the exception of reasonable remuneration to any employee for any services rendered, rent for premises let. A voting member of the committee shall not be appointed to a salary office or receive any benefit in money or monies worth same as interest rate or money lent to the group.
  • In the event of the group being for any reason dissolved, the assets and funds of the club remaining after the satisfaction of all debts and liabilities of the club, shall be transferred to another body with similar aims to their own within the area, or be returned to funding bodies on a pro rata basis.
  • No alterations shall be made to the constitution except by the resolution of the volunteer club leaders or members parent/guardians in a general meeting with the consent of at least two thirds of the volunteer club leaders or members parents/guardians present and voting threat. Notice of any proposed alteration must be sent to all members with the Notice under clause seven above.
  • The aforementioned rules and regulations were presented to its volunteer leaders and members parents/guardians for adoption at its meeting of 23 January 2006 and were subsequently approved by those present at the same.
